Assigning and tracking work orders

Assign and reassign work orders in CleanLog, filter the list by location or assignee, and track every job from open to in progress to done across a site.

Updated

Once a work order exists, you assign it to a cleaner and track it to done. Every work order carries a status, open, in progress, or done, that the assigned cleaner moves along from their phone, so you see live progress without calling anyone. Filter the list by location or assignee to find what is still open across a site. New to work orders? Start with creating a work order.

How do I assign or reassign a work order?

You assign a work order to the cleaner who should do the job, and you can reassign it later if plans change.

  1. Open Work orders and select the job.
  2. Set the assignee to the cleaner who will do it.
  3. To reassign, open the work order and change the assignee.

The newly assigned cleaner gets it on their phone; the previous assignee no longer sees it as theirs. Reassigning is normal: a cleaner calls out, a job moves to whoever is on site. You are not recreating the work order, just pointing it at the right person.

How do I find the work orders I care about?

Filter the list instead of scrolling it. Filter by location to see everything open at one site, or by assignee to see one cleaner’s load. Combine them to answer “what is still open at this building today.” This is how you scan fifty jobs without reading every one: narrow to the slice you are deciding about, act, move on.

How do I track a job from open to done?

Watch the status. Every work order moves through three states:

  • Open: created and assigned, not started.
  • In progress: the cleaner has started the job.
  • Done: the cleaner marked it complete, with any required evidence attached.

The assigned cleaner moves the status from the mobile app, so the list reflects reality without a check-in call. A site is clear when nothing is left open or in progress. For the cleaner’s side, see completing work orders on mobile.
