Covering a shift gap

A cleaner calls in sick. How to spot the uncovered shift in CleanLog and reassign it fast, before the night, so the site still gets cleaned.

Updated

A cleaner calls in sick and you have hours, not days, to fix it. Open the schedule, find the now-empty shift, and reassign it to another cleaner. The new person sees it on their phone immediately. The whole change is logged, so the record stays straight even when the plan does not.

How do I spot the gap?

Unassigned and uncovered shifts stand out on the schedule, so you find the hole before it becomes a no-show. Scan the day in question and look for the shift the sick cleaner was on. Filter by location to focus on the site that now needs covering.

Check the schedule the moment someone calls out, not at shift time. The earlier you see the gap, the more cleaners you have to pull from and the less you scramble at night.

How do I reassign the shift fast?

  1. Open the empty shift on the Schedule.
  2. Remove the cleaner who called out.
  3. Assign an available cleaner to cover it.

That is it. The shift drops onto the new cleaner’s mobile app right away, with the location and start time, so they know where to go. They clock in on arrival and the verified hours land on their record, not the absent cleaner’s. For the mechanics, see assigning and swapping cleaners.

Who can I move onto the shift?

Pick a cleaner who can actually make it: someone not already on another shift at that time, and close enough to the site. CleanLog shows your team so you can choose, but you know your people and the geography. Reach out, confirm they can cover, then assign.

If no one on the schedule can take it, that is your cue to invite or call in someone else. A covered shift beats a perfect one.

Will the change be tracked?

Yes. The swap is logged on the shift: the original cleaner, who covered, and when you made the change. The sick cleaner’s absence and the cover are both on the record, so payroll pays the person who actually worked and you have the trail if anyone asks.

Because clock-ins attach to whoever is assigned, the hours follow the cover automatically. No manual correction at the end of the period.

Where to go next

Prevent next week’s scramble by assigning shifts early with assigning and swapping cleaners and a solid cleaning schedule. Make sure your bench is app-ready with getting cleaners on the mobile app.
