Account deletion

You can delete your CleanLog account and have your personal data anonymized. This page explains the two flows, what gets wiped, what is preserved on operational records, and how long each flow takes.
Two flows
Your account type decides which flow you get.
Authorised Users (in-app)
Authorised Users are people added to an organisation by an administrator. In the CleanLog mobile app, go to Profile, then Account deletion. We send a one-time code to verify it is you. Once you confirm, your personal identifiers are wiped immediately, with no waiting period. Third-party cleanups (push notification provider, product analytics) run asynchronously in the background and typically complete within minutes.
Account Owners (operator review)
Account Owners are sole owners of an organisation account. Closing an Owner account affects the organisation's operational records, so we review the request before acting. The mobile app prefills an email to dpo@cleanlog.com; you can also email us directly. Include:
- The full name on your account.
- The organisation or company name.
- A short statement that you are requesting account deletion.
We acknowledge and complete deletion within 5 business days, in line with the Personal Data Protection Act 2012 (Singapore) and applicable equivalent obligations. Where a request is more complex, we will let you know and explain the expected timeline. We may need to verify your identity, but will not require personal data beyond what is reasonably necessary to confirm you are the account holder.
What gets wiped
On confirmation (Authorised User flow) or operator approval (Account Owner flow), we wipe the following personal identifiers tied to your account:
- Email address.
- Phone number.
- Password (replaced with an unusable random hash).
- Profile photo.
- Push notification tokens.
- Third-party identifiers (Sentry, PostHog, OneSignal) keyed to your account.
- Authentication recovery state (password reset tokens, lockout counters, remembered-device tokens).
- Personal identifiers in our internal audit-trail JSON (PaperTrail history) and in denormalised places that copy your email or phone (signature records, account invitations, membership invitation fields, OTP rate-limit and verification rows, and audit-log metadata).
After this runs, any active session you have is invalidated on the next request and no further sign-in is possible against the wiped record.
What is preserved (and why)
CleanLog is an operational system of record for cleaning and maintenance work. To keep that record honest after a person leaves, we preserve two things on operational records (work orders, inspections, chat messages, comments, audit signatures):
- The display name you authored content under. We keep the name as-it-was on records you created, so the historical record stays accurate.
- Free-text content you authored. Notes, chat messages, inspection comments, and similar free-text content remain on the operational record they belong to.
Your name on these records is shown with a Deactivated marker so anyone reading them later knows the account is no longer active.
If you need a specific record removed for a legal reason (for example, a Subject Access Request under PDPA or GDPR), email dpo@cleanlog.com and we will review case by case.
What we may retain
Some records may be retained where required by law or for legitimate operational reasons. These typically include:
- Audit logs and security event records, for as long as needed to comply with legal obligations or investigate incidents (with personal identifiers in metadata wiped on deletion).
- Billing and tax records associated with your organisation, where retention is required by accounting or tax law (commonly up to 7 years in Singapore).
- Aggregated and anonymised statistics that do not identify you.
Where data is retained, it is isolated from active processing and access is restricted to what the retention purpose requires.
